Receptionist/Administrator Associate

LandPark Commercial is seeking an experienced Receptionist/Administrator Associate to join our team to provide administrative support to our Real Estate and Property Management teams. You will handle a high volume of calls and be the first point of contact to our clients and customers. Your professional presence and superior communication skills are essential to success in this entry level position.

Job Duties:

  • Answer and screen phone calls promptly - transfer calls to the appropriate person and take clear messages with all of the relevant information if that person is not available
  • Greet visitors in a pleasant and professional manner
  • Responsible for outgoing mail, posting and recording incoming mail when required; responsible for processing deliveries, handling and distributing faxes
  • Check mail and P.O. Box daily, create shipping labels, create mailbox assignment charts
  • Prepare FedEx shipments
  • Order office supplies
  • Order items for properties (gate clickers, access cards, battery backups
  • Send monthly birthday emails
  • Deal with inquiries in reception and maintaining a clean, tidy environment in the Corporate common areas
  • Deliver AR reports
  • Create and hand out past due notices
  • Handle key/access card requests
  • Update current COI for tenants using Impak system, send memos, add/remove tenant companies and Impak users, set up new properties, work orders, conference room reservations, enter utility usage, add permits and licenses, building equipment lists and QR codes, pull over due work orders and send to maintenance to review and complete
  • Scan and file leases, create new tenant/vendor folders and labels
  • Scan and file TVN packages
  • Keep updated contact information for tenants and vendors
  • Upload weekly blogs for LPC & RMS (admin site, Facebook, Twitter, LinkedIn)
  • Post marketing flyers on Craigslist daily, constant contact on LinkedIn & Twitter, press releases, update events section on company website
  • All other duties as assigned

Qualifications and Skills:

  • Advanced customer service skills to diplomatically communicate with customers
  • Ability to multi-task, prioritize and work efficiently; excellent attention to detail
  • Ability to listen, communicate (written and verbal), excellent grammar, spelling and proof-reading skills and follow-up effectively with all prospects
  • Ability to work independently, self-starter, energetic
  • Ability to demonstrate good common sense and sound judgment
  • Ability to perform at high levels in a fast-paced ever-changing work environment
  • Ability to anticipate work needs and follow through with minimum direction
  • Communicate in a pleasant, helpful and professional manner
  • Must have good administrative skills with experience in computer database input/management
  • Requires working on own initiative, carrying out administration duties to a high standard; accuracy and speed of work is essential; must have the ability to time manage and multi task
  • Knowledge of Microsoft Office a must
  • A commitment to customer service a must with the ability to diplomatically communicate with clients and staff in a fast-paced environment
